Download this articleFollow the steps below to complete the renewal process. Note that the steps below list all renewal options provided by AvePoint Cloud Governance. The information available to you for review and update is defined by your IT administrator.
Contact – Review the current primary and/or secondary flow contact to check whether they are still correct. You can perform the following actions on the flow contact if necessary. Note that the primary contact and secondary contact cannot be the same person.
Update primary contact – To update the primary contact, complete the following steps:
Click Change contact.
In the Update primary contact panel, enter the name of a user to be the primary contact, and then click Save to save your configurations.
You can also choose a primary contact from the existing owners by clicking the add button, and the owner you select will be the new primary contact.
Edit secondary contact – To edit the secondary contact, complete the following steps:
Click Change contact.
In the Update secondary contact panel, enter the name of a user to be the secondary contact, and then click Save to save your configurations.
You can also choose a secondary contact from the existing owners by clicking the add button, and the owner you select will be the new secondary contact.
Add secondary contact – To add a new secondary contact, complete the following steps:
Click Add secondary contact.
In the Add secondary contact panel, enter the name of a user to be the secondary contact, and then click Save to save your configurations.
You can also choose a secondary contact from the existing owners by clicking the add button, and the owner you select will be the secondary contact.
Remove secondary contact – To remove the secondary contact, click the remove button.
If you want to clear all the contact changes that you made, click Reset all.
When you finish, click Continue to proceed.
Membership – Review the flow membership. If necessary, you can perform the following actions:
Cloud flows - If the current flow type is a cloud flow, refer to the following instructions to complete the membership renewal:
Add co-owners or run-only users – To add co-owners or run-only users of the flow, complete the following steps:
Run-only users are available for instant flows only.
Click Add on the ribbon.
In the Add user or group panel, you can choose to add Co-owner or Run-only user, and then enter the names of users or groups to add as co-owners or run-only users.
Click Save to save your configurations.
Edit owner – To edit the flow owner, complete the following steps:
Only owners of solution-aware flows can be edited.
Select the owner and click Edit on the ribbon, or you can click More actions > Edit of the owner.
Enter the username of a co-owner or click the add button for a co-owner to promote to the new owner. Then, the original owner will be a co-owner of the flow.
Click Save to save your configurations.
Remove – Remove co-owners or run-only users from the flow. Select one or more co-owners or run-only users and click Remove on the ribbon, or you can click More actions > Remove for a co-owner or run-only user.
Demote to run-only user – Select one or more co-owners and click Demote to run-only user on the ribbon, or you can click More actions > Demote to run-only user for a co-owner.
Promote to co-owner – Select one or more run-only users and click Promote to co-owner on the ribbon, or you can click More actions > Promote to co-owner for a run-only user.
Desktop flows - If the current flow type is a desktop flow, refer to the following instructions to complete the membership renewal:
Add co-owners or users - To add co-owners or users of the flow, complete the following steps:
Click Add on the ribbon.
In the Add user or group panel, you can choose to add Co-owner or User, and then enter the names of users or groups to add as co-owners or users.
Click Add to add the co-owners or users.
Remove - Remove co-owners or users from the flow. Select one or more co-owners or users and click Remove on the ribbon, or you can click the Remove button next to a specific co-owner or user to remove them.
Demote to user - Select one or more co-owners and click Demote to user on the ribbon, or you can click the Demote to user button to demote a specific co-owner to a user.
Promote to co-owner - Select one or more users and click Promote to co-owner on the ribbon, or you can click the Promote to co-owner button to promote a specific user to a co-owner.
If you want to clear all the membership changes that you made, click Reset all on the ribbon. Note that the recommended actions that have been executed cannot be reset.
Note that you may see the recommended renewal action by your IT administrator in the Recommendation area during the membership renewal process. If you agree to execute the renewal action, click Do it for me. AvePoint Cloud Governance will execute the corresponding action after you submit the renewal task.
When you finish, click Continue.
Metadata – Review the current metadata values to check if they are still correct. If necessary, you can update the metadata values.
When you finish, click Submit to submit your renewal changes.
