Download this articleBy default, records managers can access all physical content within locations they are authorized to manage, while end users can access all physical content. Some content may be sensitive and require additional access control so that only authorized users can view and access it. To ensure the right end users can access physical content while restricting others, configure access control for that content. After access control is configured, the content is hidden from other end users, and only the specified users can submit retrieval requests.
Note the following:
Records managers can grant access control for all physical content within locations they can access.
End users can grant access control only for physical content they themselves can access, and only to other end users. Specific permission is required for end users to perform this operation.
To grant access for physical records to specific end users, complete the steps below:
Navigate to Physical records > Explorer.
Select the node (location, box, folder, and custom container) where you want to grant access to the physical content within to specific end users, and click Access control.
There are two actions on the Access control page:
Inherit – By clicking Inherit, the current node inherits the access control from its parent. Custom access control made on the current node will be lost.
Clear inheritance – Click Clear inheritance to stop inheriting the access control from its parent. Then, enter the names of users or groups to grant them unique access to the physical content within the current node. Access control changes made to the parent will no longer affect the current node.
Click Save to save the configurations.
