Download this articleOn the Email template management page, there are several standard pre-defined email templates.
Refer to the following sections for the pre-defined email templates available in Opus.
When referring to job notification, the following email template is available.
| Template Name | Description |

| Job notification | An email notification of this template will be regularly sent to recipients to notify jobs and their statuses. |
When referring to records for review, the following email template is available.
| Template Name | Description |
|---|---|
| Manual approval template to record reviewer | If there are records awaiting approval, an email notification of this template will be sent to the reviewers. |
When referring to smart terms for review, the following email template is available.

| Smart classification review task template | If there are smart classifications awaiting approval, an email notification of this template will be sent to the reviewers. |
When referring to Physical Records management, the following email templates are available.

| Loan request submission template to end user | After an end user submits a loan request for an existing physical box or folder, an email notification of this template will be sent to the end user, notifying them that this request has been successfully submitted. |
| Loan request submission template to records manager | After an end user submits a loan request for an existing physical box or folder, an email notification of this template will be sent to records managers, notifying them that they need to process this request. |
| Loan request approval template to end user | After a loan request for an existing physical box or folder has been approved by a records manager, an email notification of this template will be sent to the end user to inform the request outcome. |
| Loan request rejection template to end user | After a loan request for an existing physical box or folder has been rejected by a records manager, an email notification of this template will be sent to the end user to inform the request outcome. |
| Creation request submission template to end user | After an end user submits a creation request for a physical box, folder, or record, an email notification of this template will be sent to the end user, notifying that this request has been successfully submitted. |
| Creation request submission template to records manager | After an end user submits a creation request for a physical box, folder, or record, an email notification of this template will be sent to records managers, notifying that they need to process this request. |
| Creation request approval template to end user | After a creation request for a physical box, folder, or record has been approved by a records manager, an email notification of this template will be sent to the end user to inform the request outcome. |

When referring to restoring archived content via the Restore to storage location method, the following email template is available.

| Password to access restored content | An email notification of this template will be sent to the user who restores the archived content via the Restore to storage location method. The user can use the password to access the restored content. |
Currently, Opus supports creating custom email templates only for the records for review email template type. Other email template types do not support custom creation.
To create a new email template for records for review, click Create above the email template table.
In the email template, you can configure the email subject, recipients, and email body. You can use rich text to enhance the content. To edit the HTML directly, click the Source code icon.
AvePoint Opus also provides references that you can insert into the template. Place the cursor where you want to insert a reference, and then select the reference. When the email is sent, the reference is automatically replaced with the corresponding data.
For $Current Date$, you can specify a date offset by adding a number to the parameter. For example, $Current Date+7$ inserts a date that is seven days after the email is sent.
To create a new email template based on an existing one, click Copy next to the email template you want to duplicate.
The Copy button is available only for the records for review email templates, both the pre-defined and custom ones. This button is not supported for other email template types.
To update an email template, click Edit next to the template. For detailed instructions, refer to Create an Email Template.
To delete a custom email template, click Delete next to the template, and then click OK in the confirmation dialog box.
Standard pre-defined email templates cannot be deleted.
